I’m Shreena Bindra, one of the co-Founders and the Chief Operating Officer at UOTech.co, and I’m here with Michael Maser, one of the co-Founders and the Chief Technology Officer. We’ve compiled essential tech recommendations for remote work across varying budgets.

The Hardware

Multiple Monitors and Display Setup. Multiple screens prove invaluable for research, spreadsheets, video conferencing, and team collaboration. iPads can serve as secondary monitors when connected to your computer.

Computer Specifications. When purchasing new equipment, prioritize: Solid State Drive, minimum 4-core processor, at least 8 GB RAM, Full HD screen resolution, and 512 GB storage.

Connectivity Solutions. A multiport travel adapter (like Dell DA300) fits in your palm and supports various cables, particularly useful for MacBooks with USB-C only ports. A single-connection dock allows you to set up monitors, speakers, keyboard, and mouse once, then simply plug your laptop in daily.

Audio and Video Equipment. External webcams deliver superior quality compared to built-in laptop cameras. For public speakers, quality microphones (such as Samson G-Track Pro) with adjustable pickup patterns enhance presentations. Bluetooth noise-canceling headphones with good microphone quality transform remote communication.

Power and Network Infrastructure. Battery backup units protect against home power outages, especially when powering your modem. Mesh Wi-Fi systems (like Eero) create stable, reliable coverage throughout your home better than single-point routers.

Office Organization. Micro-cut shredders securely destroy confidential documents. Convertible standing desks promote ergonomic positioning. Velcro cable management creates organized, professional setups.

The Software

Password Management and Authentication. Single Sign-On platforms with Multi-Factor Authentication (MFA) securely manage multiple website logins without reusing passwords.

Remote Access. Terminal Services and Virtual Private Networks (VPNs) provide protected access to confidential company data with office-like ease.

Cloud Collaboration Tools. Cloud-based systems like Office 365 and G Suite centralize remote capabilities affordably. Office 365 offers Teams for messaging and video conferencing; G Suite includes Google Meet. Both enable real-time document collaboration and remain constantly updated.

Distraction Management. Applications like Rescuetime.com and Freedom.to automatically track time and block non-work distractions. Built-in smartphone screen time features limit app usage and provide productivity reports.

Productivity Analytics. Office 365 sends weekly reports identifying your biggest collaborators, most productive times, and peak focus periods based on meetings, emails, and communication patterns.

The Network

Bandwidth Requirements. Bandwidth needs depend on simultaneous usage. Reference points: smart thermostats and outdoor security cameras require 6 Mbps each; social media uploads need 2 to 10 Mbps; teleconferencing demands 2 to 15 Mbps; 4K streaming requires 25 Mbps.

Speed Testing. Speedtest.net provides upload and download averages; Fast.com shows download speeds only. Ensure your router handles your bandwidth needs, ideal load is maximum 10 devices per access point. Wired ethernet connections offer better speeds than wireless.

The Live Office Feel

Project Management. Transparent, web-based project management tools (like Trello) keep distributed teams aligned. Daily stand-ups where tasks visibly progress from “Work In Progress” to “Review” to “Done” maintain connection and accountability.

Team Communication. Chat services like Teams and Slack recreate quick check-ins through private chats, group video, and screen sharing. Share free and busy calendars with your team and detailed schedules with close collaborators.

Cybersecurity and Information Security

Data Backup Strategy. Backup importance cannot be overstated. Ransomware attacks exploit systems without backups. Implement varied backup approaches: on-site and off-site, cloud-based and physical local backups.

Security Software. Deploy antivirus solutions with ransomware and trojan protection. Heuristic-based software (like Sophos and ESET) continuously monitors file behavior patterns rather than just scanning initial file entry.

Authentication and Access Control. Use strong, complex Wi-Fi passwords. Require Multi-Factor Authentication for data access. Require computer login authentication. Lock computers when stepping away; set auto-lock timers on company devices.

Email Vigilance. Scrutinize message details, especially regarding attachments, links, and information requests. Check sender spelling; call to verify unusual requests rather than replying via email. Add your photo to email profiles for easier recipient verification. Never grant unsolicited computer access, verify identity and access justification.

Software Updates. Patches and updates address product improvements, design changes, and critical bug fixes, many fixing security vulnerabilities. Unpatched devices represent significant vulnerability. Stay current with system updates, bug fixes, and security patches.

Productivity Enhancements. Ambient and nature playlists (available on Spotify) support focus and relaxation. Use dark mode to reduce eye strain.
