  • Recycle Bins are temporary. Microsoft 365 retains deleted emails or files in the recycle bin for 30 days by default. After that, it’s permanently gone.
  • Shared mailboxes and deleted users are at risk. Once a user is deleted, their data is gone unless backed up separately or archived.
  • Google Drive and Gmail retention are not designed for long-term restore. Google’s Vault requires correct setup and licensing, and it’s not intuitive for non-legal use cases.
  • Version history is not a full backup. File versions can help, but if the file itself is deleted and the deletion goes unnoticed, it may be lost permanently.
